Senior Administrative Assistant (Location: San Francisco, CA)

Job Description: The Senior Administrative Assistant provides administrative support to Senior Leadership including the Chief Sales Officer and CEO. The individual must be extremely organized with a sense of urgency to deadlines. The individual must be capable of working with others, taking direction, and exhibiting flexibility when executive-level projects take precedence over daily workload.
What you will be doing:
- Administrative Support: Manage calendars, schedule appointments, and coordinate meetings, ensuring efficient time management for executives.
- Communication Management: Draft, review, and respond to correspondence, emails, and other communications on behalf of executives.
- Travel Coordination: Arrange travel itineraries, accommodations, and logistics for executives, ensuring a seamless travel experience.
- Document Preparation: Prepare reports, presentations, sales contracts/Letters of Authorization and other documents as required, ensuring accuracy and adherence to deadlines.
- Meeting Coordination: Organize and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Data Management: Maintain filing systems and databases, ensuring all information is up to date and accessible.
- Project Support: Assist in various projects and initiatives, providing research, coordination, and administrative support as needed.
- Relationship Management: Act as a liaison between executives and internal/external stakeholders, fostering positive relationships.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Other duties may be assigned.
Qualifications:
- Bachelor's degree in Business Administration or related field preferred.
- Experience: 3+ years of experience in an administrative role, preferably supporting senior executives.
- Experience in the hospitality/meeting planning industry preferred.
- Excellent verbal and written communication abilities.
- Strong organizational and time-management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Salesforce CRM experience preferred.
- Box and Concur experience preferred.
- Attention to detail and problem-solving skills.
- Ability to work independently and collaboratively within a team.
- Ability to interface effectively with various levels of Association and member staff in a professional office environment.
- Ability to handle multiple priorities with organization and efficiency and have a sense of urgency in completing tasks.

Remote Work Policy: Employees of San Francisco Travel are required to be in-the-office a minimum of 4-days per week per company policy, which is subject to change.
Compensation: The total compensation range, which includes base salary and targeted incentive/bonus is $54,000 to $80,000. Health care and other benefits are in addition to the listed compensation range.
